For account, billing, security, and product-usage data, Field Office determines the processing purposes. For calls, messages, documents, customer records, worker records, and other data a subscribing business submits, Field Office generally processes information for that business under its instructions. Contact that business first to exercise rights concerning its records.
1. Notice at collection
We may collect the categories below for the listed purposes. We do not sell personal information or share it for cross-context behavioral advertising. We retain each category only as long as reasonably necessary for the purposes stated, legal obligations, disputes, security, and account administration; the specific period depends on account settings, provider constraints, contract terms, and law.
2. Sources
We receive information from account holders and authorized users; their customers, callers, and workers; documents and devices they connect; Google and other connected providers; telecommunications and email providers; payment and banking providers selected by the business; and automatically from use of the Services.
3. How we use information
We use information to provide and personalize workflows; authenticate users; capture and route leads; generate drafts and summaries; execute approved actions; synchronize connected services; provide support; prevent fraud and abuse; maintain audit records; measure usage; comply with law; enforce agreements; and develop or improve features. We do not use Customer Data to train a broadly available model unless the business has expressly agreed to that use.
4. AI processing
Selected content may be sent to AI providers to transcribe, extract, classify, summarize, or generate a requested draft. We configure providers and retention controls where available, but their processing remains subject to our provider arrangements. Do not use Field Office for specially regulated data until the applicable account has a written agreement and supported configuration for it.
5. When information is disclosed
We disclose information to infrastructure, database, authentication, AI, telecommunications, email, storage, calendar, document, analytics, security, and support providers as needed to run the Services; to providers the business directs us to connect; during a merger, financing, reorganization, or sale subject to appropriate protections; to protect rights and safety; and when legally required. The current product may connect with services such as Google, Telnyx, Postmark, OpenAI, hosting, and database providers. A business also controls disclosures made by its users and workflows.
6. Callers, customers, and workers
If you interact with a business using Field Office, that business controls why your information is collected and how its workflows use it. Field Office processes it to provide services to the business. Questions about a job, invoice, contract, recording, or employee record should normally go to that business. We will assist the business with appropriate requests.
7. Retention and deletion
Account and acceptance records are generally retained for the account relationship and a reasonable period afterward. Operational records are retained according to account settings and contract requirements. Security, transaction, consent, and audit records may be retained longer where reasonably needed to establish what occurred, prevent abuse, or comply with law. Backups are deleted on a rolling schedule. Deletion may be limited by legal holds, security needs, provider constraints, or another lawful exception.
8. Security
We use administrative, technical, and organizational safeguards designed for the nature of the information and the product stage. No service is completely secure. Account holders must use strong credentials, limit access, configure providers correctly, and avoid uploading information that the account is not approved to process.
9. Privacy choices and rights
Depending on location and applicable law, individuals may request access, correction, deletion, portability, or information about processing, and may appeal or complain to a regulator. We do not discriminate for exercising a privacy right. Submit a request through the business that collected your information or the privacy contact identified in the Field Office account or order form. We may verify identity and authority before responding. Authorized agents must provide proof of authorization.
10. California disclosures
The categories collected and purposes are listed in the Notice at Collection above. We do not sell personal information, do not share it for cross-context behavioral advertising, and have not done so in the preceding 12 months. Where California law applies, residents may request to know, access, correct, or delete covered information and receive equal service. Field Office may act as a service provider or contractor for Customer Data, in which case the subscribing business handles the request and instructs us.
11. Children
The Services are not directed to children under 13 and business accounts may not knowingly use them to collect children’s information without a legally sufficient purpose, notice, consent, and supported configuration.
12. International use
The Services are currently designed for United States businesses. Information may be processed in the United States and other locations where providers operate. Do not deploy the Services in another jurisdiction without confirming an appropriate contract and transfer mechanism.
13. Changes and contact
We may update this Notice as the product or law changes and will post the effective date. Privacy and legal requests must be sent through the contact method identified in your account or order form. Before commercial launch, Field Office must publish its operating entity, postal address, and monitored privacy contact.
